Final Paper Upload

Prepare your final camera-ready manuscript and submit it according to following guidelines:

1. IEEE format verification

Verify that your camera-ready paper complies with the IEEE format. The IEEE conference paper template can be downloaded from

HERE

IMPORTANT: All authors must submit their final camera-ready papers before the deadline for final camera ready papers even if there are no changes to the paper. Failure to do so may result in the paper not appearing in the proceedings.

2. Embedding of the Copyright Clearance Code (CCC) Notice

Copyright Clearance Code (CCC) Notice should be embed by the authors before the paper finalization!

IMPORTANT: The Authors are responsible for embedding the appropriate CCC code into their articles. The IEEE, IEEE SMC Society and the Organizers of SMC 2016 do not responsible for any copyright issues, which may occur regarding the usage of inaccurate CCC code.

For WORD users:

Place embed one of the following copyright notices into the footer of the first page of your paper:

•        For papers in which all authors are employed by the US government, the copyright notice is:

U.S. Government work not protected by U.S. copyright

•        For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:

978-1-5090-1897-0/16/$31.00 ©2016 Crown

•        For papers in which all authors are employed by the European Union, the copyright notice is:

978-1-5090-1897-0/16/$31.00 ©2016 European Union

•        For all other papers the copyright notice is:

978-1-5090-1897-0/16/$31.00 ©2016 IEEE

For LATEX users:

Be sure that you use the appropriate CCC Notice:

  • For papers in which all authors are employed by the US government, the copyright notice is:

\IEEEpubid{\makebox[\columnwidth]{\hfill U.S. Government work not protected by U.S. copyright

  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:

\IEEEpubid{\makebox[\columnwidth]{\hfill 978-1-5090-1897-0/16/\$31.00~\copyright2016 Crown

  • For papers in which all authors are employed by the European Union, the copyright notice is:

\IEEEpubid{\makebox[\columnwidth]{\hfill 978-1-5090-1897-0/16/\$31.00~\copyright2016 European Union

  • For all other papers the copyright notice is:

\IEEEpubid{\makebox[\columnwidth]{\hfill 978-1-5090-1897-0/16/\$31.00~\copyright2016 IEEE

Embed the following completed code in your source file after the Author (\author) block, but before the Abstract (\abstract) (or abstract equivalent).

IMPORTANT: please use the appropriate copyright notice from above (for example 978-1-5090-1897-0/16/\$31.00~\copyright2016 Crown) and not the template one!

IMPORTANT: in order to use the following Latex code you may need to use this package, as well: \usepackage{fancyhdr}

%Copyright notice

\IEEEoverridecommandlockouts

\IEEEpubid{\makebox[\columnwidth]{\hfill X-X-XXXX-XXXX-X/XX/\$XX.XX~\copyright2016 WHERE?

                        } \hspace{\columnsep}\makebox[\columnwidth]{ }}

\maketitle

%\thispagestyle{plain}

% insert page header and footer here for IEEE PDF Compliant

\fancypagestyle{plain}{

            \fancyhf{}         % clear all header and footer fields

            \fancyfoot[L]{}

            \fancyfoot[C]{}

            \fancyfoot[R]{}

            \renewcommand{\headrulewidth}{0pt}

            \renewcommand{\footrulewidth}{0pt}

}

\pagestyle{fancy}{

            \fancyhf{}

            \fancyfoot[R]{}}

\renewcommand{\headrulewidth}{0pt}

\renewcommand{\footrulewidth}{0pt}

3. Xplore verification of the final paper

Your camera-ready paper should be converted into a PDF file and verified for Xplore compliance by IEEE PDF eXpress. Go to http://www.pdf-express.org/plus and convert your file to an IEEE Xplore compatible PDF file or check your PDF file for IEEE Xplore compliance.

First-time users should do the following:

o    Select “New Users” and click “Here”

o    Enter the following:

  • 35644XP for the Conference ID
  • your email address
  • a password

o    Continue to enter information as prompted

o    An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

You will receive an email receipt indicating that your camera-ready paper is PDF compatible. Keep this receipt and you need to upload it together with your camera-ready paper and IEEE Copyright Form (explained below).

4. IEEE Copyright

In addition, all accepted papers must be accompanied with an IEEE Copyright Form.

SMC 2016 has registered to use the IEEE Electronic Copyright (eCF) service. The paper submission system contains a button linking directly to a secure IEEE eCF site that allows electronic completion of the copyright assignment process.

If the above procedure fails, you can obtain another form at

http://www.ieee.org/documents/ieeecopyrightform.pdf.

Download the form and print it. Be sure to indicate the Paper ID and Session on the form, and email it to ieeesmc2016@gmail.com.

5. Upload your camera-ready paper

The electronic paper submission system for final paper submission is open until July 9, 2016.

If your paper is for a Special Session in the BMI Workshop or if your paper is related to EEG, BMI, BCI, EMG, or other brain-related topics, please click on “Workshop Paper Submission” and then clink on “Workshop on Brain-Machine Interface Systems”.

After login, click "Upload/Update Final Paper" and follow the instructions. When the message "Upload Final Paper Success" appears, the upload procedure is complete.

Please, find the User Guide here.

If you need assistance with on-line submission of your paper, please contact the Electronic Submissions Webmaster, Ming-Chang Chen (maximchen.chen@gmail.com).

IMPORTANT: No paper without a completed IEEE Copyright Transfer Form will be published.

6. Registration

Register for SMC 2016 by clicking here. For a paper to be published in the SMC 2016 Proceedings, at least one of the authors must register. When submitting registration, please key in your paper ID to register your paper. For additional papers from an author, a payment of $300 for each additional paper (after July 9: $350) will be required (max 3 additional papers). For a paper that exceeds 6 pages, an additional payment of $60 for each additional page will be required (up to 2 pages). Papers exceeding 8 pages will not be accepted for the SMC 2016 Proceedings.
Do not forget to indicate the requested services! These data are requested from organizational point of view and do not influence the registration fees! Please be attentive, if you do not request a service we cannot provide your participation on it on the spot!

IMPORTANT: Conference proceedings that meet IEEE quality review standards may be eligible for inclusion in the IEEE Xplore Digital Library. IEEE reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore), if the paper is not presented at the conference. 'Pay to publish' is not allowed by IEEE. So at least one author of a paper must show up and present the paper at the conference.

IMPORTANT: In order for your paper to be published in the SMC 2016 Proceedings, at least one of the authors of each paper must register by the deadline for final camera ready papers. Without registering, your paper will not appear in the Proceedings.

SMC 2016 provide unique fees for the hotel reservation. Visit the Accomodations on the SMC 2016 website.
